This policy applies to the website, contact forms, requests for information, visits, property proposals, alerts, applications, commercial communications and the relationship with customers, owners, potential customers and partners. Data and legality
Processed data, purposes and basis
We may process identification and contact data, language, preferences and real estate budget, messages, interaction history, property data, contractual, tax, financial and identification documentation, professional data of candidates and technical information such as IP address, device, browser, security records, pages consulted and cookie identifiers.
We process this data to respond to requests and prepare or execute contracts; manage properties, visits, proposals and transactions; comply with legal, tax, accounting, money laundering prevention and IMPIC or other authorities obligations; protect the website and prevent fraud; recruit; improve the service; and, when there is consent or another valid legal basis, measure audience and send commercial communications. The grounds are, depending on the case, pre-contractual measures and contract, legal obligation, legitimate interest, defense of rights and consent. We do not make exclusively automated decisions with legal effects or significant impact.
The data is normally obtained from the owner, but can also come from owners, representatives, partners, real estate portals, synchronized CRM systems and legitimate public sources. When the law requires it, we will provide additional information applicable to the origin of the data.

The data can be accessed by Amber Star employees and agencies that need it and shared, to the extent strictly necessary, with hosting, technology, email, CRM and operational support providers, real estate portals, banks, notaries, lawyers, tax consultants, other professionals requested by the client, public authorities and legally competent entities. We do not sell personal data and require adequate guarantees and data protection contracts from subcontractors.
Some providers or technical resources, including email, analytics, advertising, MapLibre, OpenFreeMap and OpenStreetMap services, may process technical data such as IP address. When there are transfers outside the European Economic Area, we will use an adequacy decision, standard contractual clauses or other legally recognized guarantee. We apply technical and organizational measures proportionate to the risk, although no system connected to the Internet can guarantee absolute security.
Conservation
How long do we keep data
We keep data only for the period necessary for the purpose and legal obligations. In the absence of a contractual relationship or dispute, requests and contacts are normally retained for up to 24 months after the last interaction, applications for up to 12 months and technical and security records for up to 12 months. Marketing preferences are maintained until consent is withdrawn or, as a rule, up to 24 months of inactivity.
Data associated with contracts, transactions, invoicing, tax obligations, prevention of money laundering or defense of rights are kept for the applicable legal periods, which can reach seven years for documentation of prevention of money laundering and longer periods when another law, process or competent authority imposes it. After that, the data is securely deleted or anonymized.

You can request access, rectification, erasure, limitation, portability or opposition to processing, as well as withdraw consent at any time, without affecting the previous lawfulness. When processing is based on legitimate interest, you can object for reasons related to your situation; Regarding direct marketing, opposition takes effect at any time. We will generally respond within one month and may request proof of identity.
